Agree on the move-out day first, then split that month by the day: the person leaving pays up to the day they go, the new roommate pays from the day they arrive. Bills in the leaver's name move to someone else before they go. The deposit is usually between the leaver, the landlord and whoever replaces them. In TableCash the organizer plans the move with the date, and on that day the new roommate takes over the share and the chore turns; everyone else's shares stay the same.
Split it by the day. If rent is $900 and they leave on the 15th of a 30-day month, they pay about $450 and the new roommate pays the rest. If nobody is moving in yet, decide up front whether the house covers the empty room or the leaver does until it's filled; the lease and your roommate agreement usually answer this.
The landlord usually holds it until the whole lease ends. A common fix: the new roommate pays the leaver their share of the deposit, and the landlord's deposit stays put. Take move-out photos of the room either way, so nobody argues about the carpet later. In TableCash the move-in and move-out photos of each room are kept with the lease.
Move the internet, electric or any account in the leaver's name to someone who's staying before the move-out day, and split the last bill by the day like rent.
Writing the move-out rule down before anyone moves in saves this whole conversation: roommate agreement checklist.
